Primary reasons for Remodeling:Outdated decor did not reflect the professionalism of the doctor. It gave a horrible "First Impression" to her patients. She was capacity blocked at 125-135 weekly visist. She was unable to educate patients effectively, had an extremely unorganized Report of Findings and wasted too much time as her patients trapped her in her closed rooms to have non chiropractic discussions.
Her poor quality Report of Findings impacted her conversion ratio. She was unable to deliver a health care class due to the size of the reception room and her staff had poor productivity and efficiency both at the front desk and in the collections departments.

Please note that due to the design restrictions, poor patient flow and dingy atmosphere, this doctor was unable to impliment the practice growth and efficiency concepts that she had been studying with her management company. She was actually embarrased to come to a facility that looked the way it did as it did not reflect her personality. She was also restricted by the doctor that she was renting space from and was not permitted to make any changes. When that doctor retired and she bought the practice, she was ready to create the practice of her dreams. Primary GoalsWithin 3 years, she wanted to create the practice of her dreams. One that would reflect who she is and what she represents. Some of the specific statistical changes she wanted to achieve were as follows:
Weekly Patient Visit (WPV): 450 PVA: 48
New patients per month (NP): 38 Weekly Hours:about the same (23)
Business and Design CriteriaA word of caution: There are three general design options for any chiropractor. Closed room, Open room and Semi - open room adjusting each have their own pros and cons. After listening to the results the doctor is looking for, we determined that the semi-open room concept would yield her the best results based on her treatment techniques, practicing growth strategies and business systems. This is not the same for everyone. As you review this transformation, focus on the changes and how they align with the doctors needs rather than deciding if semi open is right for you. When we work together, we will help you make that decision.
After several consultations with the doctor, the design team at Davlen decided that the semi-open adjusting area would help her educate her patients, thereby increasing their PVA. Better educated patients refer more of their friends and her internal referrals would increase. A better Report of Findings room would greatly improve her conversion ratio and would also improve the patients understanding of her best recommendations. The natural light from the windows would add to the overall feeling of health and well being. The addition of plants and water features would support the feeling of life and health that all Chiropractic offices should represent. Her primary objective was to transform her symptomatic style of practice into more of a wellness style practice. She wanted to head away from third party payers and toward a cash model. Davlen set out to streamline her Front Desk CA's work area with a more efficient working environment. Together, we worked with her contractor to develop an acceptable budget that included changing the stained ceiling tiles, removing most of the flourescent lighting, and adding recessed can lighting and wall sconces to highlight the art work that her practice management consultant suggested. By creating an office that simplified her daily activities, she was able to do more in less time and in less space, making her much more efficient.
The ResultsBy eliminating the capacity blockages of the facility, and by creating an office that she was proud to come to every day, she was finally able to implement the practice building procedures that her management company had trained her to do. By having a Consultation and Report of Findings room that was developed to place everything that she needed directly at her fingertips, she was able to deliver a clear and concise Report of Findings. Her conversions went up and her PVA went up because her patients were able to better understand her best recommendations.
"Short Term" Practice Statistics after transformationWithin the first 4 months of completion, her weekly visit average had already climbed to over 210 WPV.
Her PVA had increased to 44 Her internal referrals skyrocketed her Np to over 21. Her practicing hours per week actually decreased to 22
Her income had increased by over $15,000.00 per month.
Since each work station was developed around the practice management "systems" which placed the most needed items directly at the staffs fingertips. She was able to hire and train new staff much more quickly and easily. |

Sidebar:Since completion, her husband, also a well respected Chiropractor, decided that due to the capacity and operating efficiency of this one location, that he would consolidate both practices under one roof. They both now practice from this 1,250 square foot facility and have increased their income tremendously and have lowered their overhead significantly. They are currently on their way to seeing over 400 patients per week employing 1 CA, have added services and now have plans to build their own building within the next two years.
